This Policy explains what happens to your data on the website intertex-wedding.com (the “Site”): who receives it, why, how long it is kept and how to delete it.
1. In brief
- The data from the forms is used only to reply to your inquiry and agree on an order.
- After 12 months, the personal data in an inquiry (name, contact details, message text, etc.) is deleted from the Site database.
- Inquiry e-mails stay in our mailbox for as long as the cooperation lasts.
- We do not sell data and do not send marketing e-mails.
- There are no analytics or advertising trackers on the Site.
- To delete your data, write to info@inter-tex.com.ua from the address you used in the form (section 11).
2. Who we are
The controller of your personal data is Herman Valeriy Vasylovych, a Ukrainian sole proprietor (FOP HERMAN VALERIY VASYLOVYCH), trading as Intertex (“Intertex”, “we”).
- Location: Ukraine, Chernivtsi region.
- E-mail: info@inter-tex.com.ua
- Phone: +380 50 337 00 77
3. Where this Policy applies
This Policy covers the Site in all its language versions (Ukrainian, English, Romanian, Italian, German). The Site is a catalogue of Intertex models with inquiry forms for bridal salons and other professional buyers. The Site has no prices, basket, online payment or customer accounts: order terms are agreed with a manager.
The Site is meant for businesses, so we do not collect data from children under 16. If a child has nevertheless sent us their data, let us know and we will delete it.
Third-party services linked from the Site (messengers, social networks) are not covered by this Policy: their own rules apply there.
4. What data we collect
4.1. What you enter in the forms
The Site has four forms; the wholesale terms inquiry and the Selection inquiry collect the same data. Required fields are needed so that we can reply; without them the form cannot be sent.
- Partner application: company, contact name, country, e-mail, phone (required); city, website, Instagram, “I use WhatsApp” checkbox, message (optional).
- Wholesale terms inquiry and Selection inquiry: contact name, country, e-mail, phone (required); company, city, “I use WhatsApp” checkbox, message (optional). A Selection inquiry also carries the selected models and a link to the Selection.
- Contact form: contact name, e-mail, message (required); company, country, phone (optional).
4.2. What is recorded automatically with an inquiry
- a fingerprint (hash) of your IP address with a key that changes daily; we do not store the address itself in the inquiry database;
- the result of an automatic spam check;
- the language and type of the form and the page it was sent from;
- how you arrived at the Site: UTM tags, the referring website, the first page of your visit and an advertising click identifier (gclid, gbraid, wbraid, fbclid), if your visit carried any of them;
- your choice in the cookie banner at the moment of sending.
4.3. Messengers
If you follow a link to WhatsApp, Telegram or Viber and write to us there, we see your message and the number or account name shown by the messenger. What the messenger itself does with the data is governed by its own policy.
4.4. What we do not collect
Accounts, payments, precise location, health data or other special categories of data. There are no analytics or advertising trackers on the Site (section 9).
5. Why we need your data
- To reply to your inquiry and agree on an order: to contact you, clarify models and terms, send a quotation and correspond with you. Legal basis: Article 6(1)(b) GDPR (steps prior to a contract, taken at your request) and Article 11 of the Law of Ukraine “On Personal Data Protection” (conclusion and performance of a transaction at your request).
- To protect the Site against spam and bots and keep a technical delivery log of inquiries. Legal basis: Article 6(1)(f) GDPR, our legitimate interest in keeping the Site running and protecting our staff from unwanted messages.
- To understand which channels bring inquiries (how you arrived at the Site). Legal basis: Article 6(1)(f) GDPR, our legitimate interest in evaluating the effectiveness of our channels. You may object to this (section 10).
- To comply with the law: to keep a record that you were informed and what you chose in the banner, and to respond to lawful requests from public authorities. Legal basis: Article 6(1)(c) GDPR.
- Consent (Article 6(1)(a) GDPR) will be needed only for analytics or marketing tools, if we connect them. There is no such processing at present.
By sending a form you confirm that you have read this Policy. We do not ask for separate consent to reply to your inquiry: the processing is needed to do what you are asking for. We do not send marketing e-mails without your separate consent and do not pass your data to other companies for their advertising.
6. Who else sees your data
Inquiries are handled by our managers. Besides them, the data is seen by the service providers without which the Site cannot operate:
- Kinsta Inc.: hosting of the Site and the inquiry database. The servers are in Frankfurt, Germany. Kinsta processes data under a data processing agreement that includes the EU standard contractual clauses; its sub-processors include Google (infrastructure) and Cloudflare; the full list is on Kinsta’s page.
- Cloudflare, Inc.: checks traffic for bots before it reaches the Kinsta servers. Cloudflare and Kinsta see the IP address of your connection in their technical logs; Cloudflare also sets the __cf_bm cookie (section 9).
- The mail service of the provider Hosting Ukraine (ukraine.com.ua): inquiry e-mails reach our address info@inter-tex.com.ua through it, and an automatic confirmation reaches yours; the e-mails are stored in that mailbox.
- WhatsApp, Telegram, Viber: only if you yourself write to us in a messenger.
- Public authorities: only where the law requires it.
There is no CRM system or analytics on the Site. If we connect them, we will update this section before they are used.
7. Where the data is kept
You send your inquiry directly to us in Ukraine: our managers work with it, and the e-mails are stored in a mailbox in Ukraine. The inquiry database is kept on Kinsta servers in Frankfurt (Germany, EU). There is no EU adequacy decision for Ukraine; at the same time, the GDPR applies directly to what we do with your data (Article 3(2)), and you have all the rights described in section 10.
Separately: technical logs containing IP addresses may be processed by Kinsta, Cloudflare and their contractors outside the European Economic Area (EEA), including in the USA. The safeguards are the EU standard contractual clauses and, for Cloudflare, also the EU-US Data Privacy Framework.
8. How long we keep data
- Inquiries in the Site database: 12 months from submission, then automatic anonymisation: name, company, e-mail, phone, city, website, Instagram, message text and IP fingerprint are deleted. Only data that cannot be linked to a person remains (country, selected models, language, form type, banner choice, UTM tags, first page of the visit), for statistics.
- Submissions flagged as spam or held for review: deleted after 30 days.
- Technical delivery log: 90 days.
- E-mails in the mailbox info@inter-tex.com.ua: for as long as the correspondence about the inquiry and the subsequent cooperation lasts; we delete them earlier at your request.
- Records in your browser: the periods are given in section 9.
Documents of concluded contracts are kept for the periods set by Ukrainian law.
9. Cookies and browser storage
The Site’s code sets no cookies. What is written to your browser, as of the date of this version:
- __cf_bm: a Cloudflare cookie for bot detection. Strictly necessary, valid for 30 minutes; set by the hosting infrastructure.
- itx_consent: your choice in the cookie banner, in browser storage (localStorage), 365 days.
- itx_selection_v1: the models you added to your Selection (up to 50), in browser storage (localStorage). Kept until you clear the Selection or the browser storage; it reaches the server only together with your Selection inquiry.
- itx_attr: how you arrived at the Site (UTM tags, referring website, first page, click identifier). Until you make a choice in the banner, the Site keeps this in tab storage (sessionStorage) so that it can be passed along with your inquiry; the record disappears when you close the tab. If you consent to analytics, the record moves to browser storage (localStorage) for 90 days.
- short-lived navigation flags in tab storage (sessionStorage) that disappear when the tab is closed.
Your browser may also send network error reports to Cloudflare (Network Error Logging); this is a setting of the hosting infrastructure.
Cookie banner. There are no analytics or advertising tools on the Site, so no such cookies are set. By default, analytics and marketing are off in the banner. Remembering the source of your visit in tab storage works without consent, on the basis of legitimate interest (section 5); you may object to this (section 10). If we connect analytics or marketing tools, they will start only after your consent, and this section will be extended with the names of the services and cookies. If the list of what we ask consent for changes, we will ask for your choice again. You can change your choice at any time via the “Cookie settings” link at the bottom of the Site.
10. Your rights
You have the right to:
- find out whether we process your data and obtain a copy of it (access);
- have inaccurate data corrected and incomplete data completed;
- request erasure of your data (section 11);
- restrict processing;
- receive the data you provided in a structured, machine-readable format (portability);
- withdraw consent where processing is based on it; withdrawal does not affect the lawfulness of processing before that point.
Right to object. You may object at any time to the processing we carry out on the basis of legitimate interest (Article 21 GDPR): spam protection and recording how you arrived at the Site. Write to us and we will stop that processing in relation to you, unless we demonstrate compelling legitimate grounds to continue.
These rights are provided for in Articles 15 to 21 GDPR and Article 8 of the Law of Ukraine “On Personal Data Protection”. To exercise them, write to info@inter-tex.com.ua. We reply within one month; in complex cases the period may be extended, and we will tell you if so. Requests are free of charge.
Spam filter. The only automated processing on the Site is the spam check of the forms; we do not make automated decisions with legal effects on you. If the filter has wrongly flagged your inquiry as spam, you will not receive a reply: in that case, please e-mail us.
Complaints. If you believe we are infringing your rights, contact us or lodge a complaint: in Ukraine, with the Ukrainian Parliament Commissioner for Human Rights; in the EEA, with the data protection authority of the country where you live, where you work or where you believe the infringement took place.
11. How to delete your data
- Write to info@inter-tex.com.ua from the address you used in the form. If you write from a different address, tell us which inquiry you mean so that we can identify you.
- We delete the name, company, contact details, city, website, Instagram and message text from your record in the inquiry database (the same deletion that happens automatically after 12 months), overwrite your entries in our inquiry delivery log and delete the e-mails from the mailbox.
- In the inquiry database, only anonymised statistical records remain, from which you cannot be identified: country, models, language, form type, source of the visit without identifiers.
- We confirm completion within one month.
We do not ourselves delete the connection logs at Kinsta and Cloudflare or the Kinsta hosting backups: they are erased automatically when those companies’ own retention periods expire.
You delete the records in your browser (the Selection, the banner choice) yourself: clear the Selection on the Site or your browser storage for this site.
12. Security
The connection to the Site is encrypted (HTTPS). Only authorised staff have access to inquiries. In the inquiry database the IP address is stored only as a hash. If a security breach occurs that puts your rights at risk, we will notify you and the supervisory authority in the manner and within the time limits required by law.
13. Changes to this Policy
We update this Policy when what the Site does with data changes, for example when new services are connected. The new version is published on this page with its date. If the list of what we ask consent for changes, the banner will ask for your choice again.
